Adding your own fields to records

Add typed text, number, date, choice, checkbox or long-text boxes to repair orders and customers.

For owner, manager, service advisor · checked against the product on 2026-09-09

  1. Step 1: Open Custom fields

Go to Settings > Custom fields.

  2. Step 2: Choose the record and type

Pick repair order or customer, then choose text, number, date, select, checkbox or textarea.

  3. Step 3: Name and order it

Give people a label, give integrations a lowercase machine name, set its order and optionally a default and Required.

  4. Step 4: Create the field

Press Create custom field. The box appears on matching records and saves with Save custom fields.

A default prints in the box until somebody saves another value. Clearing an optional text box stores that empty answer; it does not bring the default back.

The first repair-order field carries a one-time note beside its box on a repair order.

For a select field, each line under Choices becomes one answer people can pick. The saved answer must be one of those choices, which keeps spelling and reporting consistent instead of collecting several versions of the same value.

Retiring a field removes it from new edits but keeps every value already stored. Use retirement when the shop no longer asks the question but must preserve its record history. Repair-order and customer values also travel through the 30-day bin with their parent.

Values on demo records remain demo data. They do not appear in a live owner's record, count or total, and they are never used in a customer message.
