Getting your people on

Adding somebody creates their account there and then and shows you a temporary password once. That password cannot open the account — the teammate finishes through a reset link sent to their own email.

Adding somebody

The form is on Welcome, in the card headed Invite a teammate. Name, email, role, then Invite.

Nothing is emailed at the moment you press Invite. The account is created immediately with a twelve-character temporary password, shown on screen for a few minutes only.

That password cannot open the account, and it is not supposed to. Typing it correctly tells Torqix who is at the door and nothing more: the teammate is told their password is correct and cannot be used, and is sent to Forgot your password? to open a link we email to their own address. So the way in is a reset link, every time, and the address you typed on the invite form has to be one that person can actually read.

They can ask for that link themselves from the sign-in screen. You can also send it for them: on Team, their card has Send a password reset link. If the temporary-password window closes before you wrote it down, nothing is broken and you do not re-invite them — the account already exists, and the reset link was the way in either way.

The six roles

Owner
Everything, including running the account. Always sees money. Cannot be invited — the first one is created at signup.
Manager
Everything an advisor can do, plus shop settings, the team, the time clock for other people, the audit trail and the trash.
Service Advisor
Customers, the calendar, estimates, any repair order, taking a payment. The front-counter role.
Technician
Their own assigned repair orders, talking to the crew, and their own time clock. Nothing else.
Accountant
Reports and exporting the books. Nothing operational.
Front Desk
Customers, the calendar, texting customers, internal notes, their own time clock. No estimates, no orders.

The full table — every key in the product against every role, in plain words — is behind What each role can do on Team. It is generated from the rules the server actually enforces, so it cannot drift from reality, and it is now a form as well as a table: most of those keys can be moved between roles for your shop. There is an article on that.

A shop name such as Parts manager appears in this invite list with its built-in Torqix role beside it; changing or clearing that name never changes what the role may do.

A manager can appoint managers, advisors, technicians and front desk. Making somebody an owner or an accountant needs an owner, because both hold keys a manager does not.

The switch that is not a role

New people arrive with money visibility off. That is separate from their role and decides whether they see costs, margins and pay rates — not whether they see prices. It is four switches rather than one — parts, labour, wages and the shop's own figures — and a new card starts with all four following the coarse switch, so ticking that one box is still the whole job for most shops. There is a whole article on it, and the short version is that an accountant almost certainly needs it switched on.

When somebody leaves

On Team, find their card and press Switch off at this shop. That is this location and no other: somebody who also works at another of your shops keeps it, and the manager there is not surprised on Monday. They stop being able to work here on their next page load, and their work stays on the record — the orders they wrote, the hours they clocked, the notes they left. Switching them back on later does not go near their password — but that is not the same as saying their old password will work. If you had already required a new password from them, that demand outlives either switch: they still have to use their reset link before they can sign in, and no control on this screen lifts it. The card tells you which of the two you are looking at rather than making you remember, so read the sentence under their name before you tell somebody they are good to go.

If they have left the company altogether, the control underneath is the one you want: Disable the whole account bars them from signing in at every location you have, and it asks you to tick a box saying so before it will do it. Both switches keep them on the roster, switched off, so giving either one back restores exactly what they had.

You cannot switch off your own access, and you cannot leave the shop with no owner. The screen refuses both with a sentence explaining why.
